Add more options for handling of applications
I would like an option to just close an application for reasons like inactivity or lack of response from the applicant to questions or feedback. Simply clicking denied doesn't seem fitting but I don't want to leave applications on my pending list.
We are going to add a new application status of ‘Closed’. There will now be 3 options: Accept, Reject, Close
This will let people ‘Close’ an app without necessarily rejecting the person. This will be analogous to the ‘Withdrawn’ status by the user, but will reported separately.
In essence in cases where a user or admin is neither rejecting nor accepting an app users can withdraw apps, but Admins ‘close’ them.
If you need greater detail than that the note field is the place to put the detail. We can’t add a button for every reason for a rejection or an application being close, but you can add a note ‘Closing for Inactivity’ or ‘Closing due to lack of Response’ then click ‘Close’ and you’re set.

I understand the concept, then, of the notes field .. but with my example of "accepting" someone who later changes their mind .. ie, we accepted their application but they never actually joined the guild ... you cannot currently change the status. You can change the status of a previously declined application (simply by clicking on the "accept" button), but once you have clicked on the "accept" button, there is no way to change that status. Yes ... we can then put a note in saying "didn't actually arrive ... abducted by aliens" ... but their status still remains at accepted.

I've never actually used the "application notes" to the side of applications - are they duplicated or viewable anywhere else? Or viewable by anyone else? Basically - is it only me, as guild leader/site admin, that can see those notes?

Tanya, in the case of an application changing status. You should be able to remove the user and then add a note to the application. I think this is more informative, since it indicates that you did in fact 'Accept' them and then something else led to the notation. This will provide much more personalization also since the notes could say 'Abducted by Aliens' or anything you like without having to bake that into the process.

It would be nice if we could also change the application status ... recently we have had apps that we have accepted, but then the applicant has changed their mind - would be nice to have the option to change the application status to "withdrawn" or similar.

What you can implent instead is a feature that when you click denied. that you can enter an reason.
